Qualtrics runs customer experience, employee experience and market research on one platform. These four points are what changes when engagement runs on its own.

Reviewers on Capterra at mid-size and very large organizations mention a learning curve and more complexity than simple surveys need. Here each manager sees scores, trends and the heatmap for their own team.

A survey can go out as named invitations over email, Slack or Teams, as an open link, or as a QR code on a break-room poster for staff with no work email.

Dashboards show a group at five responses by default. The number can be raised but never set below three, and the same rule covers scores and comments.

What comes with you, and what does not

  • Every individual answer comes out. Export Data on the Data & Analysis tab downloads raw responses as CSV, TSV, XML, SPSS and other formats, with survey and participant metadata.
  • Dashboards come out as documents. They export as PDF, JPG, PPTX or DOCX, per Qualtrics’ own export page. The scores-by-org-unit file, in CSV or TSV, shows each question as top-box favorability.
  • Dynamic benchmarks stay behind. The scores file leaves them out, and CultureMonkey compares standard drivers against its own industry pool.

  • The two platforms measure differently. Qualtrics reports the share who chose a favourable answer. CultureMonkey reports the average of every answer, collected 1 to 5 and shown out of 10 by default.
  • No conversion factor exists. Two teams with the same average can sit fifty points apart on percent favourable, so leadership gets a short note, never a formula.
  • Compare direction, not the number. Which drivers lead, which lag, and which way the trend moves are what to compare across the changeover.

  • Qualtrics also runs customer experience and market research. Those programs can stay on the Qualtrics licence while engagement moves.
  • Engagement, pulse, eNPS and lifecycle surveys move. Pulses can recur on a set cadence, and lifecycle surveys trigger from joining and exit dates.
  • A reduced Qualtrics footprint is a legitimate outcome. What a smaller licence covers is a question for the Qualtrics account team before renewal.

What you keep, what changes

  • Each leader sees only their part. Access can be limited by team, location, business unit or custom attribute, and a board member can get a read-only report with no login.
  • Open links run alongside personal invitations. Anyone using a link or QR code still verifies with an email or employee ID and a one-time passcode, so no one answers twice.
  • Practice runs stay out of the results. A test survey can be left out of the dashboard totals, so trial runs do not touch the first real baseline.

Who can see what, and from when

  • Qualtrics defaults to five. Results and comments stay hidden for any group below five responses. That is the documented default threshold. Only Brand Administrators, EX Administrators and Employee Insights Admins can change it.
  • CultureMonkey defaults to five, never below three. The number can be raised, and one rule covers every score and comment on an anonymous survey.
  • Check the current Qualtrics setting first. Admins can change the threshold, so it may not be five. Look it up before telling anyone what will change.

  • Help is written down first. For anything the Help Center does not answer, email support with the survey or page involved, a screenshot, and what was expected.
  • Account settings run through CultureMonkey. A change such as raising the dashboard anonymity threshold goes to CultureMonkey’s account executive or support.

  • Start the paperwork early. A security review, a partner contract to end, and a licence other departments use all sit between the decision and a signature.
  • The security review has a starting point. The Help Center documents tenant isolation, encryption in transit and at rest, and role-based access.
  • Ask for a reference who moved from Qualtrics. Raise it on the first call, and hear how the score changeover and the partner handoff went.

FAQ

Moving off Qualtrics

Can you move employee engagement off Qualtrics and keep using it for everything else?
Yes. Engagement, pulse, eNPS and lifecycle surveys move to CultureMonkey, and customer experience and market research programs can stay on the Qualtrics licence. A reduced footprint rather than a full exit is a legitimate outcome. What a smaller licence covers is a question for the Qualtrics account team before renewal.
Is Qualtrics EX being discontinued?
No. Qualtrics still offers its employee experience software on its own site. What people may half-remember is an ownership change: in June 2023, Silver Lake and CPP Investments completed their acquisition of Qualtrics, including SAP's majority stake. The owner changed; the product is still sold.
How long does a move from Qualtrics take?
The export sets the deadline. Qualtrics' General Terms allow export during the subscription term and delete remaining data after it ends, so check the contract's end date. A retention policy, if one is set, can also delete older responses sooner. Employees then load from a CSV, so the first survey does not wait for an HRIS.
Do you need the implementation partner to run the migration?
Not on the CultureMonkey side: employees load from a CSV and questions are built in the survey builder. Account questions go to CultureMonkey's account executive. On the Qualtrics side, find out early who holds the admin access that runs the exports and changes dashboard settings.
What happens to the surveys that are not engagement surveys?
They stay on Qualtrics. CultureMonkey is an employee experience and engagement platform rather than a customer experience or market research one, so client studies, brand research and other non-employee surveys keep running where they are. Engagement, pulse, eNPS and lifecycle surveys are what move.
Can historical Qualtrics data be loaded?
Yes. Older surveys can be imported during onboarding and kept for reference, and a round that used a different question set or scale can be left out of dashboard trends. Dashboards do not load, since they export as documents, and dynamic benchmarks are left out of Qualtrics' scores export.
Does a Qualtrics score convert to a CultureMonkey score?
No conversion factor exists. Qualtrics reports the share of people who gave a favourable answer, and CultureMonkey reports the average of every answer, collected on 1 to 5 and shown out of 10. Compare which way the trend moves and which drivers rank highest, not the number itself.
What employee data is actually needed?
A CSV with first names, email addresses, teams and locations, the four required columns, plus any other details results are reported by. Employees load from that file, and an HRIS connection can be added later to keep the list in sync.
Is Qualtrics EmployeeXM the same as XM for Employee Experience?
Yes. Qualtrics EmployeeXM, XM for Employee Experience, Qualtrics Employee Experience and Qualtrics EX are names one product has carried across Qualtrics' own pages and review platforms. Qualtrics still sells it on its own site under the name Qualtrics EX, and this page treats every name as the same product.
